Have you ever sat down and estimated the cost of a season? Have you built a racing budget? Here's a short article and a budget template I built based on our series. I'd be very interested in your feedback on helping me improve the template as a resource for newer racers or racers in our series developing sponsorship proposals.

http://www.gunpowderracing.com/2012/07/05/racingbudget/

Hope you enjoy.

Some things are better off not put down on paper. I sure hope my wife doesn't see this.

Close estimate based on previous calculations:

$4K-$6K a year for the last 3 years. ... Depended on how many parts I break in crashes, maintenance foulies, bike upgrades, and replacing worn gear (previously acquired and initial investment not included). Included in the $6k quote are $120-$130 average race weekend including travel fuel (from Conway), bike fuel, gate and entry fees, and lunch /dinner on the way home.

Lets not forget cost of maintenance on the tow vehicle and/or trailer. These are all numbers I'd rather not visibly see, nor would I care for Vonda to be looking over these. :)

Don't buy a bike too small for your size if you wanna be competitive either! Higher RPM's screamin through the woods sure is fun, but it's getting pricey and time consuming trying to make it work and replacing top-end components really often! I'm finding this out lately :(

We need to figure out how to reduce some of the numbers, ie: sponserships and such.It seems that FLY has stepped up for the gear side of the house, but some help on the hard parts side would be a big help.

Nice Work on that Yvonne!! .. Yes, we have it fairly good here with discounts of all kinds. NOT THAT ANYONE IS really whining yet, but I can see it coming.... I would hate for this thread of Shelby's to turn into some kind of nag-fest because it's so dang expensive to race. Shelby has actually done a great service to his fellow racers here and doesn't deserve that. GREAT JOB Shelby!

Shelby, did your original file have subtotals from each row automatically totalled using the formula to multiply column letter or price per unit by the column number of units (12) for each row? ie =(D4*D5) in the subtotals column? It doesn't auto-calculate subtotals in the file when I pulled it up... If you didn't do that already, it Might be a time saver in the future for you if you have to change a value :)

Yvonne is so true, When you use AHSCS series sponsors make sure they know you are from AHSCS and you are there because they support the series and how much you appreciate them doing so.

Sean, As a Quality Mgr I use data to improve a process. The best thing about keeping track of expenses is that you know where the money is going and where it can be improved. Like Jake doing more top-end on his 125 vs 1 rebuild on a 4st. vs years of service out of a 300xc. I know I’m careful of other things like boot sizes that I get so that the next Kid in line can use them also. It is impossible to predict all expenses but preparing for possibilities and saving were you can helps a lot.

The A-Team was created to help each other, build great racers and encourage new riders. We share Truck pools, Parts, Labor, Ideas, Training, Motivation, Pits, well everything to help each other race. It has been vary helpful and has brought in some Team sponsors “Freegun, AXO, Renthal, MotoTassinari, Matrix, Scott, FMF” to our Individual riders sponsors. Most sponsors give us a very good discount, some give us stuff, and we sell Freegun to make money. Know I hope that some of these racers make money racing some day but I know that is very unlikely. The payback comes from challenging the racers to aim at any goal they want to achieve. We are still learning and plan on building in the future.

I filled out my information in Shelby's form and came very close to what I estimated above... $3500 total using his mileage formula ( I take it that is vehicle operating cost per mile?). I'm sure it will change slightly if I put my vehicle's operating cost in there which I will try to estimate based on MPG's, Oil Changes over total miles for the race series, tires, brakes, etc. Up until now, I have only used fuel since my "race" vehicle is my work-travel vehicle too.

Thank you to Yvonne and Rob. I'm still pretty new to this series and although I did a bit of motocross in years past, this is my first real effort at racing a whole series. I'm finding that there is alot more involved than just hitting the local moto track every now and then. Plus it's hard to keep the Boss/Wife happy when everything is going out with nothing monetary comming in. (Ha Ha) I have been fortunate that I haven't had any major breakdowns so far, although I will now since I said that, but as Rob mentioned about the 300XC, thats why I chose the 2T 200XC. Most everything I can do myself and overall costs seem to be lower. We all have to pay for our hobbies, and for me, I feel I get a good bang for my buck with this one. Thanks to everyone in the series.

Sean....to keep the boss/wife happy, do what Terrance did...buy her a bike too. I don't even WANT to keep up with what we spend on it. Most of the races are 3 or more hrs for us...2 that we make are 6 hrs...one we don't is over 6...plus we have 3 racers. But, it is what we do. We don't go to the movies or eat out alot...I don't go shopping for anything except groceries. We cut where we can and we ride and race and have fun doing it as a family. Before Sept we have to get new piston and clutch basket for 250, new front tires for 2 bikes and new rear tires for 3 bikes...we COULD NOT do it without H&W Powersports, (which is our local shop and closest sponsor). But life is short and we can't take it with us....so rock on!!!! lol

Yes Jake each line item should be sub-totaling. I'm not able to fix it right now if its not but I will check on that tonight.

Yeah it wasn't intended to figure out a way to save money or to critique the series on expense at all. I was just simply trying to get a handle on it since I did not have an idea of what a full season might entail.

In fact I had hoped that it would be a resource for new racers to help them plan for racing.

Regarding the mileage rate. The IRS and the GSA both use $.55 per mile as a standard rate for mileage on business travel. Its a widely accepted rate in the accounting world and saves you from having to tally all your vehicle expenses so that seemed like an easy way to estimate the travel cost as opposed to itemizing. When I update the template I will have it automatically calculate round trip mileage. Also I am planning to take food cost out because one reader pointed out hey food should have already been in your daily budget anyways. You were going to eat race day whether you were racing or not.

Good point on the food expenses. I just have a different version of the spreadsheet and the formulas did not transfer over due to some variation in programs...no worries, your original sounds like it probably works efficiently.

Yvonne, I tried that and it didn't go over real well. Ha Ha, but I got our granddaughter a 90cc pitbike and she loves it. Just have to get her practiced up before I can turn her loose on a track. She has never ridden before now and she will be 12 soon, so I'm not able to start her on the kids course. Its awesome that y'all have the whole family involved. You can't put a price on happy and enjoyment. Anyway, can't wait til Sept and Shelby, great tool to help identify where it all goes and direct it where best.
